MK Systemer wanted an easy-to-use CRM system that gave them a better overview day to day, without being either too complex or too demanding to run.

MK Systemer wanted a better system for everyday work
Since 2014, MK Systemer has supplied heat pumps and solar shading to both consumer and business customers. As the business grew, so did the need for better structure, less manual work and more efficient processes.
MK Systemer wanted a digital solution that was easy to use, matched the way they actually work – and did not cost a fortune. When nothing on the market covered what they needed, they turned to Netpower to have a solution built that fitted their needs exactly.
A CRM system built on open source
Before the system was introduced, much of the customer activity was documented by hand. That was inefficient and did not scale.
– We therefore chose a web-based solution built on open source and developed in PHP, configured specifically for what MK Systemer needed. That gives great flexibility and makes it possible to build exactly the features the business needs, without unnecessary complexity, explains Alexander Bjørnås, Project Manager at Netpower.
The solution consists of custom adaptations and integrations that make the system inexpensive to run, easy to use and easy to develop further as needs change.
Simple, visual calendar management
The calendar is the heart of the system and gives a complete overview of every job – whether that is a site survey, an installation, a service visit or a removal. Different categories make it easy to see what has to be done, when it is scheduled and who is responsible. That has simplified planning and cut the need for manual coordination.
Automated customer follow-up
When an installation is completed, the system automatically creates a follow-up case. That means MK Systemer is alerted about future service intervals – after two years, for example – and can follow up customers at the right time with no manual work at all.
Integration with accounting
The system is integrated with Fiken, so customer data and invoicing data are synchronised automatically every day. That gives full control of invoicing and removes duplicated work.
Mobile-friendly for engineers in the field
Because many of the users work out in the field, the system is optimised for mobile. Installation engineers can easily check their calendar, open addresses directly in Google Maps and upload photos and measurements from site surveys.

More features on the way
– Going forward, the system will be extended with more lead management features, and the solar shading side of the business will be brought in as well, Bjørnås concludes.
